Role Objective
To undertake the routine administration tasks for a portfolio of discontinuance clients efficiently, professionally and profitably.
Main Responsibilities and Duties
Business Performance
- To be aware of what work is and is not included in the fee agreement for each client. Any work that may be categorised as being in addition to what is included in the fee agreement is to be drawn to the attention of senior colleagues.
- To produce work within published turnaround times.
- To maintain an accurate record of working time on Practice Engine and to meet chargeable time targets as agreed with line manager.
- To monitor own work in progress and keep own work list up to date by logging tasks onto the work monitoring system when received and logging them off when completed.
- To be aware of, and follow, relevant company and departmental procedures.
- To work in a logical and disciplined manner.
- To make appropriate use of available technology.
Client Management
- To ensure priorities are agreed as necessary, both internally and with the client, and deadlines met including service standards and disclosure requirements.
- To produce neat, dated and fully referenced work which is easily checkable and can be followed up at a later date.
- To build professional and friendly relationships with clients.
- To process membership events from start to finish.
- To facilitate wherever possible the timely completion of the winding-up process.
- To accurately calculate and communicate pension scheme benefits having regard to the Scheme Rules, Inland Revenue, legislative requirements and with due regard to the funding position of the Scheme acting upon the advice of the Scheme Actuary; to put benefits into payment and complete statutory and other forms.
- To produce data extracts for valuation and other purposes.
- To maintain an accurate client database with correct checks and reconciliation, producing and updating records accurately for status changes, miscellaneous amendments, validations, pensioner amendments.
- To attend to telephone and written queries on own initiative.
- To identify problems or deficiencies in documentation, bases or data and refer to senior colleagues.
- To maintain scheme master files, administration manuals and filing system.
- To use appropriate forms and checklists for all work carried out.
Administration Team
- To work as part of a cohesive team and to support team culture.
- To discuss effectively any problem that arises with line manager.
- To assist with clients outside own portfolio as requested.
- To participate in team and departmental meetings.
- To undertake any tasks as directed by the Line Manager commensurate with the grade.
